TL;DR
- Five AI voice agent examples in real estate cover the calls teams miss most: listing inquiries, lead qualification, tenant screening, maintenance requests and renewals.
- Each one works best on a narrow, repeatable call, with a clear point where a person takes over.
- Tenant screening and outbound calls carry real legal risk, so fair housing and consent rules come before launch.
- Start with the calls you miss most often, usually after-hours listing inquiries or maintenance requests.
A prospect calls about a listing at 8:15pm and gets voicemail. At 2am, a tenant reports water coming through the ceiling and gets the same voicemail. By morning, the prospect has booked a viewing elsewhere and the leak has spread.
AI voice agents in real estate pick up those calls, deal with the routine part of the conversation and pass anything that needs judgment to a person. Here are five ways real estate and property management teams use them, each with an example call, what it saves you, where it should stop and which systems it needs.
The call scenarios below are illustrative examples of how each agent works, not records of real customer calls. Haass is an ElevenLabs implementation partner.

5 AI Voice Agent Examples in Real Estate
Each example below covers one type of call that real estate offices and property management AI voice assistants handle well, starting with the lowest-risk calls.

1. Real Estate AI Receptionist
What it does. The agent picks up every call to your office or listing line. It handles questions about price, size, availability and pet policy, takes messages, and puts callers through to the right agent or department.
Example call.
Caller: Hi, I saw the two-bedroom on Maple Street. Is it still available?
Agent: It is. It's listed at the price shown online, with two bedrooms, one bathroom and parking included. Would you like to book a viewing, or have one of our agents call you back?
Caller: A viewing, please. Saturday if possible.
Agent: I have 11am or 2pm on Saturday. Which works better?
Why it helps. No call goes to voicemail, including evenings and weekends, when many prospects are free to call. Your agents start the next morning with booked viewings instead of a list of missed calls.
Where it stops. The agent should answer from your listing data and nothing else. Questions about neighborhoods, schools or whether a property is a good investment belong with a licensed agent, and the receptionist should pass them on rather than guess.
Connects to. Your listing data or website feed, your calendar, and your CRM for logging each call.
2. Real Estate Lead Qualification Automation
What it does. When a new lead fills in a form or calls in, the agent asks a short set of qualifying questions, such as budget, timeline, preferred areas and whether the buyer is pre-approved. It books qualified leads into an agent's calendar and writes the answers into your CRM.
Example call.
Agent: Thanks for your inquiry about homes in the north side. Are you looking to buy in the next three months, or further out?
Caller: Probably within two months. Our lease ends in January.
Agent: Got it. Have you spoken to a lender about pre-approval yet?
Caller: Yes, we're pre-approved.
Agent: Great. I can book you a call with Priya, who covers that area. Does Thursday at 4pm work?
Why it helps. Every lead gets a fast first conversation, and your agents spend their time on buyers who are ready. With real estate CRM integration, the answers go straight into the lead record, so nobody retypes call notes.
Where it stops. Keep it to a few questions. A long interrogation over the phone loses people. Pricing advice, negotiation and anything about a buyer's financial situation beyond a simple yes or no should stay with your team.
Connects to. Your CRM, your agents' calendars and your lead sources, such as website forms and listing portals. If the agent calls leads back rather than only answering inbound calls, consent rules apply. See our guide to AI outbound calling.
3. Automated Tenant Screening Calls
What it does. The agent runs the first screening call for rental inquiries. It confirms the unit, the move-in date and whether the applicant meets your written, objective criteria, such as an income requirement. It then sends a link to the full application.
Example call.
Agent: The unit on 4th Avenue is available from December 1st. When are you hoping to move in?
Caller: Around the middle of December.
Agent: That works. Our listing requires monthly income of at least three times the rent. Would you like me to send you the application link?
Caller: Yes, please.
Agent: I've sent it by text. Once it's submitted, our leasing team will review it and contact you.
Why it helps. Your leasing team stops spending hours on first calls with applicants who don't meet basic criteria or whose dates don't match. Every applicant hears the same questions in the same way, which supports consistent treatment.
Where it stops. This is the example with the most legal risk. The Fair Housing Act prohibits discrimination based on race, color, religion, sex, national origin, familial status and disability, and many states and cities add more protected categories. The agent must never ask about these, comment on them or make decisions based on them. Questions about children, pregnancy, disability, religion or where someone is from are off limits. The agent should only gather objective information and pass every decision to your team.
Connects to. Your property management software for unit availability, and your application system for sending the link.
4. AI Maintenance Dispatcher
What it does. The agent takes maintenance calls from tenants at any hour. It confirms the tenant and unit, asks what's wrong, sorts the request by urgency, creates a work order and, for emergencies, connects the call to your on-call contact straight away.
Example call.
Caller: There's water dripping through my bathroom ceiling.
Agent: I'm sorry, that sounds stressful. Is the water coming in steadily, or is it a slow drip?
Caller: It's getting faster.
Agent: I'm treating this as urgent. I'm connecting you to our on-call maintenance contact now. If the call drops, they'll call you back on this number.
A routine request, such as a sticking cupboard door, gets a different path: the agent logs the work order and tells the tenant when to expect a response.
Why it helps. Tenants reach someone at 2am, emergencies get escalated immediately, and routine requests arrive as complete work orders instead of voicemails your team has to decode.
Where it stops. Your team should decide in advance what counts as an emergency, such as gas smells, flooding, no heat in winter, electrical sparks or a lockout, and always route those to a person. For a gas smell or fire, the agent should tell the caller to leave the property and contact emergency services first.
Connects to. Your property management software for tenant and unit records, your work order system, and an on-call phone number or rota for transfers.
5. Rent Reminders and Lease Renewal Calls
What it does. The agent calls tenants who have agreed to receive calls, to remind them of upcoming rent or to start the lease renewal conversation. It answers basic questions, records whether the tenant plans to renew, and passes anyone who wants to negotiate to your leasing team.
Example call.
Agent: Hi, this is the AI assistant from Oakview Property Management. Your lease at unit 12B ends on March 31st. Are you planning to renew?
Caller: Probably, but I'd like to know the new rent first.
Agent: I'll ask our leasing team to send you the renewal offer and call you to go through it. Is this the best number to reach you?
Why it helps. Your team learns early which tenants plan to stay and which might leave, so you can plan turnover and marketing. Rent reminders reach tenants consistently without staff making every call.
Where it stops. Outbound calls need the right consent, and the agent should say it's an AI at the start of the call. Rent negotiations, payment disputes, hardship cases and eviction-related conversations should always go to a person.
Connects to. Your property management software for lease dates and balances, your tenant contact and consent records, and your leasing team's calendar.
Which Example to Start With
Start with the calls you miss most often and that carry the least risk. For most teams, that's the AI receptionist or the maintenance dispatcher.
| Example | Best first step for | Risk level | Needs to connect to |
|---|---|---|---|
| AI receptionist | Brokerages and leasing offices missing after-hours calls | Low | Listing data, calendar, CRM |
| Lead qualification | Sales teams with more leads than agents can call quickly | Low to medium | CRM, calendars, lead sources |
| Tenant screening calls | Property managers handling many rental inquiries | High | Property management software, application system |
| Maintenance dispatcher | Property managers with after-hours maintenance lines | Medium | Property management software, work orders, on-call number |
| Rent and renewal calls | Property managers with large portfolios | Medium | Property management software, consent records |

The risk levels are our general guidance. Tenant screening is rated high because of fair housing exposure.
What to Get Right Before You Launch
This section is general information, not legal advice. Review your setup with your legal team before launch.
Fair housing. Any agent that talks to renters or buyers must treat everyone the same way and stay away from protected characteristics. Write the agent's questions down, keep them objective, and have someone who knows fair housing rules review them before the agent goes live.
Outbound consent. In the US, the FCC's February 2024 Declaratory Ruling confirmed that AI-generated voices count as artificial voices under the Telephone Consumer Protection Act, so outbound AI calls to leads and tenants need prior consent. Keep a record of when and how each person agreed to be called.
AI disclosure and recording. Tell callers at the start that they're speaking with an AI assistant, and tell them if calls are recorded. Some states require consent from everyone on a recorded call.
Handover rules. Decide which calls always go to a person: emergencies, complaints, negotiations, legal questions and anyone who asks for a human. Make sure the person who takes over gets a summary, so the caller doesn't repeat everything.
Building These Agents on ElevenLabs
All five examples can run on ElevenAgents, ElevenLabs' platform for building voice agents. For real estate and property management, the parts that matter most are:
- Natural voices. A natural-sounding agent keeps the call feeling like a normal conversation with your office. Our guide on making an ElevenLabs agent sound natural covers how to get there.
- Workflows. Fixed steps, such as confirming a tenant's identity before discussing their unit, run in a set order every time.
- Tools that connect to your systems. The agent can look up listings, check calendars, create work orders and update your CRM during the call.
- Phone connections. Agents connect through Twilio or SIP trunking, so you can keep your existing numbers.
- Transfers to people. Emergencies, negotiations and anything outside the agent's job go to the right person with a summary.
- Batch outbound calling for consented rent reminders and renewal calls.

Frequently Asked Questions
What can AI voice agents do in real estate?
AI voice agents in real estate answer listing inquiries, qualify buyer and renter leads, book viewings, run first-stage tenant screening calls, take maintenance requests and make rent reminder or renewal calls. They work best on repeatable calls and hand anything that needs judgment, such as negotiations, complaints or legal questions, to a person with a summary.
Can an AI voice agent screen tenants?
Yes, for the first stage. An AI voice agent can confirm availability, move-in dates and whether an applicant meets your written, objective criteria, then send the application link. It must never ask about protected characteristics under fair housing law, and every screening decision should stay with your leasing team. Have your questions reviewed before launch.
Can an AI voice agent handle emergency maintenance calls?
Yes, as the first point of contact. The agent can identify the tenant, ask what's wrong and recognize emergencies you've defined in advance, such as flooding or no heat. It should then transfer the call to your on-call contact immediately. For gas smells or fire, it should tell the caller to leave and contact emergency services first.
Does a real estate AI voice agent integrate with my CRM or property management software?
It can. AI voice agents connect to CRMs, calendars and property management software through tools that look up and update records during a call, such as checking availability, booking viewings or creating work orders. What's possible depends on the APIs your systems offer, so check those before you choose a use case.
Will an AI receptionist replace my leasing team?
No. An AI receptionist takes repetitive calls, such as availability questions, viewing bookings and after-hours messages, so your leasing team can focus on tours, applications and relationships. Negotiations, screening decisions and difficult conversations still need people. Most teams use the agent to answer first and hand over when a person is needed.
Next Step: Pick One Call Type and Test It
Of the five AI voice agent examples in real estate above, start with one call type rather than all five. Pick the calls you miss most, whether that's after-hours listing inquiries or 2am maintenance requests, and run a short pilot on those.
